We kindly request you to read these Terms and Conditions carefully before booking any trip with us. Once a booking is made, it signifies that you have understood and agreed to the terms outlined below.
1. Booking and Payment Conditions
For Nepal, Bhutan & Tibet Trips:
- A copy of your passport and a 20% deposit of the total trip cost is required at the time of booking.
- The 20% deposit is non-refundable, and will be considered as a cancellation fee in case of trip cancellation.
- The remaining balance must be paid upon your arrival in Kathmandu before the trip departure.
Note: For Bhutan and Tibet trips, the full payment must be completed at least 20 days prior to your departure. Failure to do so may result in the cancellation of your booking.

Note: A 3.5% processing fee will be applied to credit card transactions.
3. Last-Minute Bookings
We accept last-minute bookings for Nepal trips up to 3 days before the departure date. However, Bhutan and Tibet trips must be booked at least 20 days in advance due to visa and travel permit processing.
4. Trip Postponement
If you need to postpone your confirmed trip, a written notice must be submitted.
COVID-19 Flexibility:
If you are unable to travel due to COVID-19 restrictions, you may reschedule your trip at no extra cost, for any future date that suits you.
5. Cancellation Policy
- The 20% deposit made during booking is non-refundable.
- If you have paid more than the deposit, the remaining amount (after deducting the deposit) will be refunded to you via the original payment method.
- No refunds will be made in the case of cancellations made less than 15 days before the trip.
6. Incomplete Tour
If a client leaves the trip voluntarily or due to personal reasons, Himalayan Travellers will not be liable for any refund of the remaining trip cost.
7. Unforeseen Circumstances
If a trip is cancelled due to natural disasters, political unrest, epidemics, or other force majeure, we will arrange an alternative trip or reschedule it for a later date. No refunds will be made, but your booking will be retained as a credit for future travel.
8. Travel Insurance (Mandatory)
Comprehensive travel insurance is required for all participants. Your insurance must cover:
- Emergency evacuation
- Medical expenses
- Trip cancellation or interruption
- Baggage loss or damage
- High-altitude risks
Please provide a copy of your insurance policy before the trip starts.
9. Flight Delays and Cancellations
Delays are common in remote Himalayan regions such as Everest, Dolpo, Simikot, and Jumla, especially due to adverse weather. Himalayan Travellers is not responsible for additional accommodation or meal expenses caused by flight delays or cancellations. We advise keeping extra buffer days and carrying emergency funds.
10. Health and Safety
Participants must be in good health and physical condition. Clients are expected to follow the instructions of our guides during the trip. Himalayan Travellers reserves the right to exclude any individual whose behavior compromises safety, health, or the travel experience of others.
11. Liability and Responsibility
Trips in Nepal, Bhutan, and Tibet are subject to rules and regulations of the respective tourism boards. Himalayan Travellers is not liable for any loss, injury, or delays caused by:
- Natural disasters
- Flight or vehicle breakdowns
- Government restrictions or strikes
- Sickness or accidents
- Personal negligence
Any extra expenses arising from such situations shall be borne by the client.
12. Illegal or Disruptive Behavior
If a traveler engages in unlawful or disruptive behavior, we reserve the right to terminate their trip immediately without any refund.
13. Third-Party Bookings
These Terms and Conditions apply only if you book directly with Himalayan Travellers. If you book via agents or third-party websites, their respective terms will apply, and we are not liable for any discrepancies.
14. Website Updates & Errors
We strive to maintain the accuracy of the information on our website. However, we are not liable for any temporary disruptions, errors, or outdated content that may affect your booking or travel plan.
15. Governing Law
These Terms and Conditions are governed by the laws of Nepal. In case of any legal disputes, they shall be settled in the courts of Kathmandu, Nepal.
